
Penn Medicine is implementing PennChart in multiple areas of the hospital which affects approximately 20,000-22,000 users. Education is a critical success factor for this project, and classroom instruction will be mandatory in order to gain access to the system. There are two go-lives in October 2016 (6,000 users) and March 2017 (14,000 users). There will be two periods for registration which will occur a few months before the training period. The project team is in need to create an accurate schedule of classes for various roles. Schedule will include course name, description, length of class, and location for each user role. There are approximately 25-30 training locations, 100 user roles, and class lengths ranging from 2 hours – 16 hours. This is a significant and labor-intensive task, and we are requesting a scheduling algorithm or matrix where we can input specific data (classes, roles, location, length etc), and the output would be in a CSV readable format to import to Knowledge Link (Penn’s learning management system). The code or algorithm should be configurable for other institutions with their specific requirements. This is an opportunity for this individual (or group) to sell this logic or software to Epic customers. Many health systems have struggled and spent countless hours managing this process due to time and resource constraints.
The schedule needs to be imported into Knowledge Link by May 1, 2016, so the need for a scheduling algorithm is requested by March 30, 2016 for our team to review. Project team leads are willing to meet with the individual (or group) to convey requirements and offer support through the process.
